Take a flex day (Gleittag)

A flex day – Gleittag, or GT, in German – is time off paid for with overtime you have built up. In Zeitbro you set it like any other day status in the calendar. A full flex day takes 8 hours off your balance, a half day 4.

What you need

  • Overtime on your balance. How it builds up from your target and the hours you work is explained in Set up your work schedule.

1 · Find the day in the calendar

Click Calendar at the top; on a phone, tap Calendar in the bottom bar. Use the arrows next to the month to reach the day – future days work too.

2 · Pick Gleittag (GT)

Click the colored status field in the day’s row and pick Gleittag (GT). The window Select Gleittag Status opens. Click Confirmed – the button that says Deducts from overtime.

Planned deducts too, for now

Next to Confirmed you see Planned, marked 0h - Pending. Even so, a planned flex day currently takes hours off your calendar balance as well – always 8 when set from the calendar row. So go straight for Confirmed.

3 · Choose a full or half day

In the next step, Select Gleittag Duration, click Full Day (-8 hours) or Half Day (-4 hours). Zeitbro saves it right away and confirms with Status changed. The row now reads Gleittag, and the Work and +/− columns show −8:00 or −4:00. The day no longer has a target, and your overtime balance drops by those hours.

Always 8 or 4 hours

Zeitbro deducts a fixed 8 or 4 hours, not your daily target. With 30 hours over five days (6:00 a day), a full flex day still costs you 8 hours. To even out the difference, open the menu with the three dots in the calendar and choose Add Hours.

You can also set a flex day in the day editor (⋯ → Edit Entry). There you pick the length under Gleittag Options and see your balance next to Current: and After GT:; Zeitbro also warns you if it would go negative. Finish with Save Changes.

4 · Several flex days in the Time Off Planner

For more than one day, open the Vacation Calendar from the three-dot menu in the calendar and choose GT Day under Day Type. Status is already set to Confirmed and Duration to Full Day. Below them, the planner shows its Overtime balance and how many days it covers. The planner works this figure out on its own, so it can differ from the balance in the calendar.

Click the days in the calendar, then the button, for example Use 3 GT Days. Saturdays, Sundays and public holidays are skipped. If the Overtime balance doesn’t cover them, you see Not enough overtime! and the button stays disabled.

How to select days in the planner, and what it replaces when you save, is covered in detail in Book vacation days.

Frequently asked questions

Can I still record time on a flex day?

A flex day has no times. If you did work part of the day, set it to Office and enter your hours. Whatever is missing from your target comes off your balance anyway.

How do I undo a flex day?

Set the day back to Office in its calendar row. Zeitbro removes the flex day and the deduction with it.

What if I don't have enough overtime?

If the Time Off Planner's Overtime balance doesn't cover it, the planner won't let you book it. The calendar row and the day editor still will – the editor warns you first – and your balance goes negative.
